The Challenge

Condominium management is communication-intensive. Residents call and email with questions about maintenance jobs that were reported weeks ago, outstanding service charges, upcoming AGM dates, and building rules — queries that property managers could handle in seconds if they had the time, but that pile up into a significant daily burden. Meanwhile, residents wait hours or days for responses to questions with simple answers.

The gap is not information — it is access. Dominium already holds all the data: every reported issue, every financial transaction, every document. What was missing was a way for residents to query it themselves, at any hour, in a format they already use every day.

Our Approach

Neural AI built the Condominium AI Chatbot on top of chatbot.mt, our proprietary conversational AI platform, and deployed it directly into WhatsApp — the channel residents already use, with no app to download or account to create.

The chatbot connects directly to the Dominium condominium management system via API, giving it live access to the data that matters:

  • Maintenance reporting — residents describe an issue in plain language and the chatbot logs it as a formal maintenance request in Dominium, assigns a reference number, and keeps the resident updated as the status changes
  • Issue tracking — residents can check the status of any previously reported maintenance request, see what has been done, and get an estimated resolution timeline
  • Financial enquiries — outstanding service charges, payment history, and financial statements are retrieved live from Dominium and presented clearly in the chat
  • Balance alerts — the chatbot proactively notifies residents of upcoming payment due dates and flags unpaid balances
  • Building information — house rules, AGM minutes, contact details, emergency procedures, and common area booking policies are all surfaced via RAG-powered search over the property’s documentation library
  • Document access — residents can request specific documents such as meeting minutes or financial reports and receive them directly in WhatsApp

The Technology

The chatbot is built on Neural AI’s chatbot.mt platform, which handles the conversational layer, intent understanding, and WhatsApp channel integration. NeuroRAG powers the document knowledge base, ensuring answers about building rules and procedures are grounded in actual property documents. NeuroAgentic manages the multi-step workflows — such as creating a maintenance request in Dominium and then sending a confirmation with a reference number — that require coordinated actions across systems.

The Dominium integration is real-time and bidirectional: the chatbot reads from Dominium to answer queries and writes back to Dominium when residents submit reports or requests.

The Result

Property managers report a significant drop in routine inbound calls and emails. Residents who previously had to wait for office hours now get answers in seconds. Maintenance issues are logged more consistently because residents can report them the moment they notice them, from their phone, without needing to remember an email address or phone number.

The chatbot is now deployed across multiple condominium buildings in Malta, with each instance configured for the specific building’s Dominium data, house rules, and documentation. New buildings can be onboarded in days.
