Malta’s AI for All scheme just gave every business owner in Malta free access to a tool that handles the slow, repetitive parts of your day. Here is how to use it.

01 — Write things faster

Updating your website, writing a Facebook post, sending a newsletter. These tasks take time most business owners do not have.

Give ChatGPT a rough idea of what you want to say and it will write a first draft for you. You read it, change what needs changing, and send it. Much faster than starting from a blank page.

02 — Reply to customer messages without overthinking it

Got a tricky email you are not sure how to answer? Paste it into ChatGPT, explain the situation, and ask for a reply. It gives you something ready to send in under a minute.

Example prompt: “A regular customer is unhappy because their bill is higher than expected. The extra cost is justified because the job took longer. Write a polite reply that explains this and offers a small discount on their next visit.”

03 — Send quotes faster

Slow quotes lose jobs. Describe the work, your rate, and any terms you want to include. Ask ChatGPT to write it up as a proper quote. Send it the same day while the customer is still interested.

04 — Make your business bilingual

A lot of your customers speak Maltese. Most business websites are only in English. Paste your existing content into ChatGPT and ask for a Maltese version. Specify that you want natural everyday Maltese, not formal language.

05 — Understand your numbers more easily

Upload your monthly figures and ask ChatGPT to explain what they mean in plain English. What is going well, what is not, and what needs attention. You do not need to be an accountant to stay on top of your own business.

06 — Plan your social media in one sitting

Once every two weeks, tell ChatGPT about your business, what is happening, and the kind of tone you use. Ask for 14 posts. Go through them, keep the ones you like, and schedule them. Done.

07 — Prepare better for important meetings

Before a big meeting, tell ChatGPT who you are meeting and why. Ask what questions you should ask and what to look out for. Five minutes of preparation makes a real difference.

08 — Write down how your business works

Most business owners have processes that only exist in their head. Walk ChatGPT through how you do something and ask it to turn it into a written step-by-step guide. Do this for your most common tasks and you have a training document ready for the next time you hire someone.

09 — Keep up with rules and regulations without the headache

Tax changes, employment law, GDPR. Important but time-consuming to read. Ask ChatGPT to summarise what is relevant to your business and explain it simply. Always check with your accountant or lawyer before acting on anything, but at least you will know what to ask them.
